Spring Big Orange Flush – 4/6

As you’re likely aware, Neyland Stadium has a busier spring than normal between the Orange and White Game, Luke Combs concert, and Banana Ball (Savannah Bananas). In order to prepare, we’re having an early Big Orange Flush on April 6th. Those who are available should meet at Gate 21 at 9am. Bus routes will be shared closer to time. Please mark your calendars now and sign up at the link below. We need to get a head count ASAP so we know if/when we have enough volunteers. We thank you in advance for helping to make sure the stadium is ready prior to these events.

Mark Your Calendars – Picnic on the Plaza

All Knoxville area staff members are treated to a delicious meal as a token of appreciation from 10:30 a.m. to 1:30 p.m. on Monday, April 13th at the Humanities Plaza. During this time, leadership is encouraged to network with employees and acknowledge outstanding achievements and milestones reached by various departments. Eat, visit, and feel appreciated!

Safety Fest Registration is Now OPEN!

The registration for this year’s Safety Fest Tennessee is now open. Safety Fest is Monday, April 27, to Thursday, April 30, at the Y-12 Visitor Services New Hope Center. Registration can be completed here

This year’s demonstrations include the Lifestar helicopter landing and Q&A; the TVA Slip Simulator (be careful!); KUB Live Line Demonstration; and the TN Army National Guard Medevac Blackhawk landing and Q&A.

The Safety Expo features vendors and contractors, with sessions held each day. There are 14 free CPR certification sessions at Safety Fest, so if you missed our departmental offering last fall, you can get your certification at the event. Interested in NEC Codes? There are sessions on various electrical code topics as well. If you’re interested in obtaining your OSHA 10 certification, you can also do that for free at Safety Fest.

Work Order Tips

Work Teams – Since campus customers are required to enter their account number when submitting requests through the portal, our FS work teams must identify & correct all non-chargeable workorders you receive.

There are two ways to handle this…

  1. If the asset is a non-chargeable location:
    • Simply remove all fields of the account information entered by the customer. (Located at the bottom of your workorder in the “Additional Information” section – Entity, Fund, Dept, Etc)
  2. If the asset is in a chargeable location but the work itself is non-chargeable:
    • The FS team should change the toggle to YES and then enter their own FS account information.

*This needs to be done when you receive the workorder – before entering labor/materials

All material used for workorders needs to be added as “Miscellaneous” cost and documentation attached to indicate what that cost is. Please either attach a copy of the PO or some type of documentation to indicate the list of material used.

When creating workorders, make sure you are choosing the correct asset (building & room location). The asset determines who will be charged for the work. EX: If you are doing work at UT Police Dept, and you chose the asset “11th Street Garage”, that workorder will charge Parking Services, NOT UTPD. Always select the specific room the work is being done – not the top-level building name.

Receivers

Please respond to receiving request from the A/P team asap. DASH will NOT allow an invoice to be processed unless the PO has been received. If you believe the invoice doesn’t belong to you, still RESPOND, so we can find the appropriate person or contact the vendor.

Safety Stand Down

April Work Zone Safety Month

April is National Work Zone Safety Month, traditionally associated with roadway construction. However, work zones extend far beyond our roads, they exist anywhere work is being performed. This month, we will be highlighting the importance of properly creating, maintaining, and respecting work zones in every environment.

Work Zone Safety Month is a time to refocus our attention on something we encounter every day but don’t always fully recognize; the risks created whenever a work zone is established. While many people think of highway construction when they hear “work zone,” the reality is much closer to home. Work zones exist anywhere work is being performed across our facilities, job sites, and campus.

Any time we open a confined space, begin an excavation, change a light fixture, or perform maintenance that requires barricades or restricted access, we should be creating a work zone. And just like on our roadways, these environments are dynamic, constantly changing, and full of potential hazards if not properly managed.

Across the country, data continues to show that work zones carry serious risks, with increases in incidents, injuries, and fatalities highlighting the need for stronger awareness and proactive safety measures. These aren’t just statistics, they are reminders that every barrier we place, every piece of PPE we wear, and every procedure we follow has a direct impact on protecting lives, and the same goes for when we do not utilize these important safety features.

The most effective work zones share a few critical elements:

Clear Visibility: Work zones should be easy to see and understand, with clear signage, markings, lighting, and high-visibility PPE to prevent confusion and accidental entry.

Proper Protection: Use barriers, guards, safe procedures, and appropriate PPE to separate workers from hazards and reduce injury risk.

Strong Communication: Ensure clear instructions, reliable signaling, and coordination between workers, teams, and other stakeholders to prevent misunderstandings and hazards.

Well-Trained Personnel: Workers must be trained in tasks, hazard recognition, and emergency response to maintain a safe and effective work zone.

Whether it’s high-visibility gear, proper barricading, effective traffic or pedestrian control, or continuous training, these are not optional; they are essential.

This month, and every day, our goal is simple: create work zones that are not only compliant, but truly safe. That means planning ahead, staying alert, looking out for one another and those around you, and recognizing that safety doesn’t stop at the roadside, it applies everywhere work is being done.

Because in every work zone, no matter the size or location, safety is the first job.
